4. Orders Weighing OVER 2kg

Cost: t.b.d — this now is a TWO STEP PROCESS:

Step B. You will receive from ‘orders@codaliterature.co.uk’ a SHIPPING PRICE and PAYMENT LINK for either Stripe (secure payment processor). Please play the final shipping costs via the PAYMENT LINK and your order will be process the following business day.

This process allows us to obtain accurate, best-low-cost shipping pricing for members.

To UK-based members:

As with everything else, the costs of manufacture (especially in paper prices) have increased. We negotiate best rates and continue to rely upon trusted industry partners.

To our EU CoDA members:

“We admitted we were powerless over Brexit…” While we have no opinion on outside issues, the real ramifications of Brexit have meant havoc with smooth provision of CoDA literature for European home groups and members. In addition, EU members now have to bear the additional cost of VAT for their country.

We have been actively trying to find an EU-based fulfilment partner and will continue to do so until a solution is in place.

Order in bulk wherever possible:

We encourage bulk or group ordering wherever possible. It’s less expensive for the members, and easier to administrate.

CHANGES IN SERVICE, 2023-24:

As a result of these unprecedented times, which remain unpredictable, we are instituting some changes in the service which will help us keep costs low, service as reliable as possible, and cut down on waste.

1. £6.00 MINIMUM ORDER LEVEL

With great consideration we’ve had little choice but to set a minimum order level at £6.00 (Six Great Britain Pounds). Orders smaller than this now cost more to fulfill and create a loss to the service.

Note: As in the past, we are able to make a case-by-case consideration. One of our goals has consistently been that no one will be overlooked for literature. If you have a legitimate need for a single piece of literature with no way of obtaining it at a face to face home group or special convention, please email us and we will do our best to accommodate orders@codaliterature.co.uk

2. NO LONGER ACCEPTING BANK TRANSFERS

It has become the case that all but a few orders are paid through our secure payment gateways, and can be done using credit or debit cards.

In the past, we have tried to accommodate bank transfers, but these have proven to be very time consuming to handle and verify. In addition, we had a case in the past where our bank details were used to create a fraud and several thousand pounds were taken from us.

Therefore, except in rare cases, or in the case of international wire transfers, we have deactivated and will no longer accept bank transfers as a form of payment.

If you have any particular needs, are living with a disability or have other real issues regarding making payments, please contact us and we shall do our best to accommodate your needs: orders@codaliterature.co.ukc

3. POLICY ON TRACKING AND CLAIMS

We remain grateful that the instance of lost packages is very low. However, some still slip through cracks once shipped. We have no control over Royal Mail, and the actions of their agents.

We have found that some mail moves as intended, and some can get stuck in major urban depots for up to a month. This has been due to staff illness, strikes and holiday delays. These updates now address these issues.

3a. POLICY ON 'SAFE PLACE' and/or Third Party Designation for Deliveries

We recognise that Royal Mail, DPD and others allow the customer to designate a "SAFE PLACE" for their deliveries. Please note, that designating a "SAFE SPACE" with any companies requires the customer to WAIVE THIER RIGHT TO ANY CLAIMS. While we understand this may be more convenient, under no circumstances can CoDA Literature be responsible for these "SAFE PLACE" deliveries and will not refund, replace or file any claims for these. We strongly recommend using standard services.

Designating a "SAFE PLACE" with a courier/Royal Mail IS AT THE SOLE RISK OF THE CUSTOMER.

3a. UNTRACKED ITEMS POLICY:

Untracked, standard postal rates are offered where possible to save the recipient on shipping costs. However, this, as stated and accepted in our Terms and COnditions, is usually at the risk of the recipient.

We shall continue to use discretion on a case-by-case basis for how to handle any lost untracked items. Please note that due to the depot delays, we cannot take any action on lost untracked orders until

4. TUESDAY/THURSDAY UK Small Order frequency:

In order to maximise efficiency and minimise wasted resources, as of Monday, 16 January, we will be processing smaller orders of five items or less twice per week on Tuesdays and Thursdays.

This allows for more efficient handling, and more concentrated processing. With a few exceptions, in perfect conditions, this allows us to maintain the same, original 72-hour processing window we’ve always had (please see items 3, 4 below for processing time clarifications).

Note: This is NOT a committed schedule and can fluctuate. While this may cause a day or two delay in some cases, the benefit to the membership as a whole should be consistent.

5. Order Processing time extension UK

Order processing is defined as the time an order is activated as ready for processing within our system. At that time, an email to this effect is sent to the person placing the order.

Even with current challenges, and shifting to a general Tuesday/Thursday process for small UK orders, we still aim/are able to meet our established practice of processing within 72 hours.

However, in order to allow for the current challenges, and keep processing costs low, the promised order processing time will be five (5) business days from the time the order is activated.

(Order processing is not defined from when the actual order was placed online, which can be any day, 24x7. Order processing does not include delivery times once collected by Royal Mail or a courier).

4. Order Processing - EU/Europe

The process for EU/Europe orders has not changed, and remains as follows:

Step 1 — Order is placed, and the books (not including shipping) are paid for in full.

Step 2 — Order is activated in the system manually, and an email is sent, giving the various options and costs for shipping.

Step 3 - Person placing the order must reply to the email and indicate which shipping option is preferred.

Step 4 — A manual invoice is generated and emailed to the person placing the order with a payment link to our secure payment processor for payment.

Step 5 — Once payment is received, the order is updated and activated for final processing.

Step 6 — Once collected by the courier, tracking information is sent to the person placing the order.

EU Processing Time Policy:

If all emails and payments are replied to in a timely manner within one business day, the order processing time for EU/Europe orders is seven (7) business days.

Reason for getting quotes and taking extra time:

We have chosen to get as close exact quotes for EU order shipping as possible. This may seem lengthy and require a lot of back and forth.

The reason we do this is to save you, fellow CoDA members on shipping costs. Currently, some couriers and postal companies encourage a one-fits-all approach to shipping. “Up to 2KG for £x.xx” However, without precise weights and bookings, these are usually much more expensive than being precise.

All EU orders will be assessed a £2.50-5.00 pick/pack and handling charge, at the discretion of the handler, to cover costs of the additional processing.

6. VAT - EU

As an unfortunate result of Brexit, we are no longer operating in a free trade area. Therefore, each EU member company charges its own rates of VAT for book orders coming from the UK.

Please note: we have been diligently trying to find an EU-based fulfilment partner. Currently, as a small service comparatively, we cannot shoulder the burden of becoming VAT registered in every EU country. Further, VAT on books would still be chargeable at point of sale.

As a result, VAT WILL BE CHARGEABLE AT POINT OF ENTRY. This means that any courier or post service used will assess VAT with customs in your home country, and contact you directly for payment.

We are sorry this has occurred, but the situation is completely outwith our control.

E. SHIPPING TO THE EUROPEAN UNION

EU order process

If you live outside the UK, your order will calculate WITHOUT SHIPPING at first. You will then receive an email with various cost options - obtained real-time for the best price. CODA LITERATURE UK or its suppliers shall not be held liable for the consequences, accidents, or special damages arising from electronic transmissions or the accuracy of transmitted information, even in cases where CODA LITERATURE UK was aware of the possibility of such damages. 19. Validity Period of Offer and Prices

Our offers and prices are valid for the day the site is consulted and are subject to change without notice.

20. Delivery Terms

Products are delivered to the address specified by the customer on the purchase order and only to geographic zones that we service.

All products leave our premises in perfect condition. The customer must notify the carrier (or postman) of even the slightest trace of damage (holes, signs of crushing, etc.) to the parcel, and refuse the package if necessary. A new, identical product will then be sent to the customer at no additional charge.

No exchanges can be made at a later time for goods claiming to be damaged during carriage without notification at the time of reception.

As with any shipment, a delay or loss of goods is possible. In such a case, the carrier shall start an investigation. Every effort is made, for as long as necessary, to find the package. If the package is not found, the carrier will reimburse CODA LITERATURE UK, who will deliver a new, identical package to the customer free of charge.

We shall not be held responsible for delayed delivery times due to the carrier, including for the loss of goods, bad weather or strikes.

21. Right to Withdrawal

In accordance with the Distance Selling Regulations 2000, the customer has the right to a cooling off period of seven (7) business days, starting at the time goods are received, to cancel the contract and return said goods at their own expense, without having to give a reason.

All goods must be returned to the CODA LITERATURE UK ADDRESS.

The cooling off period and right to cancel do not apply to contracts, orders for any goods made to your specification, any downloaded goods, marked goods or unsealed goods including but not limited to (books, pamphlets, DVD, CD, Tapes, Software, Video and audio).

Only complete and unused goods in perfect condition for resale will be accepted. No refunds or exchanges will be made for incomplete, damaged or unsealed goods, including damage to original packaging. The customer can exercise this right to withdrawal without penalty, excepting the return fee for the goods. If the customer exercises the right to withdrawal, they have the option of requesting a full refund or exchange of goods. If an exchange is requested, all shipping expenses shall be the responsibility of the customer.

If the right to withdrawal is exercised, CODA LITERATURE UK will make every effort to refund the customer within 30 days.
